Privacy policy.
How TQ-Marketing collects, uses and looks after your details.
1. Who we are
TQ-Marketing is a trading name of Sam-Leigh Robinson. We are the “controller” of the personal data described in this policy, which means we decide how and why it is used. We follow UK data protection law, including the UK GDPR and the Data Protection Act 2018.
Our address is 2-6 York Street, Leicester, LE1 6NU. If you have any question about this policy or your details, email recruitment@tq-marketing.co.uk.
2. What we collect
- When you apply: your name, email address, phone number, what you write in the form, and your CV. A CV often includes more, such as your address, work history, education and interests.
- When you contact us by email: your name, email address and your message.
- When we talk: your emails and messages to us, and our notes from calls, interviews and trial days.
- On social media: if you message us on LinkedIn or Instagram, we see what you send and your public profile. Those platforms have their own privacy policies.
- When you visit this site: your IP address and basic browser details are processed by our hosting provider and by Google Fonts, as explained in section 4.
Please don’t include sensitive details in the form or your CV, such as health, ethnicity, religion or trade union membership, unless you want us to know. If you tell us about a health condition or disability so we can make adjustments, we use that only for that purpose and take extra care with it.
3. How our application form works
When you press send, your details and CV are sent over a secure connection to our database and file storage, which are run by Supabase. Your CV is kept in private storage that the public cannot browse or download from. We then receive an email at our recruitment address with your details and a link to your CV. That email is sent through our email provider, Resend, and the link stops working after 7 days. We also send you one email, through Resend, to confirm we have your application and explain what happens next. You can email us at the address above instead if you prefer.
4. Cookies, fonts and hosting
We don’t use cookies or advertising trackers on this site, and we don’t store anything on your device. We use Cloudflare Web Analytics to count visits and see which pages are used, so we can improve the site. It doesn’t use cookies, doesn’t store anything on your device, doesn’t identify you and doesn’t follow you across other websites. The site loads its fonts from Google Fonts, so Google receives your IP address and browser details when a page loads. Cloudflare, which hosts this site, may also keep standard server logs. If we add cookies later, we will update this page and ask for your consent where the law requires it.
5. Why we use your details
We only use your details for the reasons below. Each one has a lawful basis under UK data protection law.
| What we use it for | Details involved | Our lawful basis | How long we keep it |
|---|---|---|---|
| Dealing with your job application | Name, email, phone, what you tell us, your CV | Taking steps at your request before a contract, and our legitimate interest in recruiting well | If you are not hired: 6 months after you apply, then deleted automatically. If you are hired, it becomes part of your staff record. |
| Answering your enquiry | Name, email, your message | Our legitimate interest in replying to people who contact us | 12 months after our last contact |
| Keeping you in mind for future roles, if you ask us to | Name, email, phone, your CV | Your consent, which you can withdraw at any time | Until you withdraw consent, or 12 months, whichever comes first |
| Keeping records and meeting legal duties | For example right-to-work checks for new starters | Legal obligation | As the law requires |
| Understanding how the site is used | Anonymous visit counts, such as pages viewed, rough location by country and type of device | Our legitimate interest in improving the site | As set by Cloudflare |
| Keeping this site and our systems secure | IP address and technical logs | Our legitimate interest in protecting our systems | As set by our hosting provider, usually a short period |
When a retention period ends, we delete your application, your CV and the related emails.
6. Who we share it with
We don’t sell your details. People inside TQ-Marketing who take part in hiring can see your application. We also use providers who help us run recruitment and this site, and they only handle your details to do that work, on our instructions:
- Supabase, which stores applications and CVs,
- Resend, which sends us the email about each application,
- our email provider, which runs our recruitment inbox,
- Cloudflare, which hosts this site,
- Google, which supplies the site’s fonts.
If you are hired, we share details with others where the law requires or payroll needs it, for example HMRC. We may also share details if the law or a court requires us to.
7. Transfers outside the UK
Some of our providers handle data outside the UK, for example in the United States or the European Economic Area. When they do, we make sure a lawful safeguard is in place, such as an adequacy decision, the UK-US data bridge or the UK’s approved standard contract terms.
8. Keeping your details safe
Your details travel over encrypted connections and are kept in systems protected by passwords and access controls. CVs are stored privately, and only people who need them for hiring can see them. No online system is completely secure, so please don’t send us anything sensitive that we haven’t asked for.
9. Decisions about you
A person reviews every application. We don’t use automated decision-making or profiling to decide who we hire.
10. Whether you have to give us your details
You don’t have to apply, and you can choose what you tell us. But we need your name, email address and CV to consider your application, so we can’t take it forward without them.
11. Your rights
You can ask us to:
- show you the details we hold about you,
- correct anything that is wrong,
- delete your details,
- limit or stop how we use them,
- give you a copy in a format you can move elsewhere,
- stop using your details where we rely on your consent.
Email recruitment@tq-marketing.co.uk and we will reply within one month. If you are unhappy with how we handle your details, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
12. Children
This site is for people looking for work. It isn’t aimed at children, and we don’t knowingly collect their details.
13. Changes to this policy
We will post any changes here and update the date below.
